Describe when guests are present together
Give the likely busiest interval, overall duration and the number of staff or vendors using facilities. Explain any usable permanent bathrooms. A brief gathering with everyone present at once may need a different arrangement from a longer activity with visitors moving through gradually.
Keep the facilities easy to find
Review the guest route, washing and accessible entry with the organiser. Positioning toilets behind a screen may offer privacy, but should not create an unclear or obstructed approach. Confirm property permissions and the rental schedule independently before treating the proposed layout as settled.
Treat venue permission and equipment booking as separate tasks
For a Dunedin event, discuss proposed sanitation with the organiser handling the current venue or city process. Explain the location, use period and existing facilities in the rental request. An equipment quotation does not approve an event or authorise placement; a venue reservation does not confirm equipment availability either.
Keep the organiser involved
- Which indoor facilities are included throughout the booking.
- The proposed temporary equipment position and user approach.
- Who communicates an approved change to the layout or dates.
