Review the service pattern as use develops
Describe the initial working pattern and the changes that may follow. Ask which supplies and visits are included for the proposed equipment. A longer period gives more opportunities for access or headcount to change, so keep a clear process for reviewing the arrangement rather than assuming it stays suitable indefinitely.
Know how the agreement ends
Confirm the quoted period, billing basis and procedure for extensions or pickup. Request collection explicitly and keep the entrance available after the crew leaves. Do not treat a change in the project schedule as an automatic change to the rental booking.
Keep a record of changes during the rental
The original order should not be the only record of a rental lasting several weeks or longer. Keep agreed service visits, extension requests and any equipment changes with the project contact. Check how pickup is requested and when charges stop under the actual agreement. Do not assume the provider knows that work has finished because the site is quiet.
At each project change, review
- Whether use has increased, reduced or moved to another area.
- Whether the service vehicle can still reach the equipment.
- Who is responsible for confirming an extension or collection.
